In addition to the total, separate adults and children, genders, coaches and athletes, or other relevant roles. This helps the facility review room assignments and facilities.

Do not leave an undecided field blank. Write the current status, such as ‘The practice venue is being arranged’ or ‘The group will have no more than 24 guests.’ If possible, also state when the information is expected to be finalized.

Information to Prepare Before Opening the Form

Gather the representative's contact details, preferred dates, number of nights, group size, purpose of stay, and arrival method before entering the form. For a group, prepare the available breakdown of adults and children, genders, coaches, or other roles.

Describe Undecided Items in the Notes Field

Rather than submitting an uncertain number as final, provide a range and the expected confirmation date, such as ‘20–24 guests’ or ‘Considering one minibus.’ For meals, venues, transportation, or other requests, separate preferred options from essential conditions.

What to Do After Submission

Check whether an automatic reply arrives and review the spam folder as well. Receipt of a request and confirmation of a booking are not necessarily the same, so read the facility's reply, additional questions, payment guidance, and deadlines and respond in time.

If there are many conditions—such as meals, allergies, large vehicles, special equipment, or a long stay—you can discuss them through an inquiry before submitting a Booking Request.

Confirm that the total guest count in the form, the gender or age breakdown, and the headcount on the room-assignment list all match. Forgetting coaches, infants, or people joining only part of the stay prevents the facility from evaluating the correct conditions.

Do Not Submit the Same Request Repeatedly

After submission, check the automatic reply or receipt screen. Do not send the same information again solely because you are uncertain whether it arrived. If details change, state the date of the first submission, the representative's name, and the changed items.

The form communicates your preferred conditions to the facility. Until you receive information about availability, conditions, rates, required procedures, and confirmation of the booking, avoid giving participants or transportation providers final instructions too early.

Including a short note on major conditions that have not changed, not only the changed item, reduces the risk of confusion with another request. If the facility asks for a revised estimate or additional procedure, review and follow that guidance.

Save the Form Content Before Submission

If the notes are long, keep a copy in a separate memo before submitting. You can re-enter it after a connection interruption or page refresh, and you can compare the submitted information with the facility's questions afterward.
