SECTIONPut the sport requirements on one sheet before contacting the venue
Before contacting the facility, organize the information it needs to decide whether your use is possible. A sport name alone may not cover requirements such as the number of courts, ceiling height, flooring, equipment, sound or participant count.
Use date, preferred hours and total time including setup and cleanup
Sport, number of participants and age category
Required number of courts, markings, goals, nets and equipment
Questions about changing areas, toilets, spectator space, first aid and climate control
Number of vehicles, equipment delivery and travel method from the accommodation
SECTIONSeparate candidate checking from formal use into stages
| Stage | What to confirm | What to record |
|---|---|---|
| Candidate research | Whether the sport is allowed, availability and estimated fees | Contact point, check date and staff member |
| Tentative plan | Time consistency with accommodation, travel and meals | Daily timetable |
| Application | Application forms, user category and payment deadline | Submission copy, estimate and payment record |
| Before use | Keys, reception, equipment, prohibited actions and cleaning | Final instructions and person responsible |
| Change/cancellation | Deadlines, contact method and fee impact | Date/time of change and response received |
Some public sports facilities in Niikappu also require an application and advance payment after availability and an estimate are confirmed. Procedures, fees, heating or management charges and permitted sports differ by facility, so check the official information for the planned date of use.
SECTIONTreat booked facility time as longer than practice time
Even if everyone arrives at the start of the reservation block, changing clothes and setting up equipment can delay practice. The end time should mean removal of equipment, cleaning and exit are complete, not simply that practice has stopped.
| Time point | Tasks to include |
|---|---|
| Arrival at venue | Parking, reception, keys, unloading and changing |
| Start of use | Equipment setup, safety check and warm-up |
| Before end of use | Cool-down, equipment removal, floor and lost-item check |
| Exit | Return keys, board vehicles and travel to accommodation |
SECTIONConfirm whether equipment can be used, not merely whether it exists
Equipment shown in photos or used in the past may not be available this time. Confirm quantities, specifications, lending conditions, damage and sharing with other groups. For your own equipment, also confirm loading access, storage, floor protection and power requirements.
SECTIONConnect travel time with accommodation, meals and bathing
Add boarding, equipment loading, parking and unloading to the map travel time between the venue and accommodation. Because delays can affect meal times and the order of shared-facility use, manage venue and accommodation arrangements in one master timetable rather than having separate people book them independently.
SECTIONConfirm change and cancellation terms before committing
Whether a smaller group changes the user category or fee
Treatment of severe weather, warnings or transport disruption
Possibility of schedule changes for competitions or facility reasons
Change or refund procedures after payment
Same-day contact and backup contact if no one answers
SECTIONConfirm BASE NIIKAPPU accommodation conditions separately from venue arrangements
BASE NIIKAPPU’s Team & Group Stays information encourages planning by separately confirming the training venue, transportation, meals and accommodation conditions. The accommodation does not guarantee availability or reservations at municipal sports facilities. Confirm each venue formally with its management office and tell the accommodation your expected arrival, meal and bathing times after travel.
