SECTIONBreak a group arrival into five tasks
- 01
Enter the property
- 02
Participants get in or out of vehicles
- 03
Confirm the number of people
- 04
Bring luggage inside
- 05
Move vehicles to the designated location
If all five start at once, people, luggage and vehicles gather around the entrance and even the reception lead can no longer move efficiently. Separate both the people responsible and the sequence.
SECTIONVehicle information to give the facility in advance
| Item | What to provide |
|---|---|
| Number of vehicles | Count by type such as passenger cars, vans and buses |
| Vehicle size | For minibuses and similar vehicles, confirm overall length and height |
| Expected arrival | Separate the times for the advance vehicle, main group and late arrivals |
| Passengers | Number of people and representative in each vehicle |
| Luggage | Large sports equipment or items requiring carts |
| Expected departure | Early departure, mid-stay vehicle use and use during consecutive nights |
BASE NIIKAPPU has parking areas on the property, but the usable number of spaces, large vehicles, arrival by multiple vehicles and passenger drop-off locations must be confirmed in advance.
SECTIONAssign roles before arrival
| Role | Responsibility on arrival |
|---|---|
| Advance-arrival lead | Confirm the entrance and reception process and tell the main group |
| Vehicle guide | Coordinate vehicle order according to facility instructions |
| Headcount lead | Check participant numbers and condition after they get out |
| Luggage lead | Group luggage by vehicle and room |
| Reception lead | Receive facility instructions and confirm conditions as the representative |
| Vehicle lead | Manage keys and planned vehicle departures after parking |
SECTIONSeparate the flow of people from the flow of luggage
If participants search for their own bags around vehicles after getting out, they can block following vehicles. Separate the participant assembly point from the temporary luggage area and unload one vehicle at a time.
Participants move to the assembly point after getting out
Do not disperse through the building before the headcount is complete
Mark luggage by room or activity
Bring large equipment in separately from ordinary bags
Do not mix valuables into temporarily stored group luggage
SECTIONWhen arrival times are different
If several vehicles arrive separately, do not give the facility one combined arrival time. Divide the schedule into advance arrival, main group and late arrival. The advance group should not independently decide room assignments or keys; it should share the facility’s instructions with the main group.
| Arrival group | What to prepare |
|---|---|
| Advance arrival | Confirm reception, entrance, parking and waiting locations |
| Main group | Headcount, group briefing and luggage movement |
| Late arrival | Contact person, entry method and impact on meals or lights-out |
SECTIONLarge vehicles, multiple vehicles and winter arrivals require advance confirmation
Large vehicles have different requirements from passenger cars for road width, entrances, turning, waiting, passenger drop-off and parking. In winter, snow removal and road-surface conditions can also change which areas are usable. Do not decide that access is possible from facility photos or maps alone.

Recommended approach direction and passenger drop-off location
Where unloading is possible and the route for bringing luggage inside
