How we handle your data
when you contact us.

The contact form collects inquiry type, name, organization, email, phone, message and optional details needed for team stays, activities, partnerships or access.

The booking request form collects stay type, name, organization, email, phone, dates, group size, activities, requested conditions, arrival plans and notes. Technical data such as submission time, reference number, IP address, user agent and result may also be recorded.

Collected information is used only as necessary for the following purposes.

• Replying to inquiries and confirming identity
• Receiving booking requests and checking availability, conditions and prices
• Coordinating accommodation, group stays, sports stays, activities and partnerships
• Sending administrator notifications and automatic replies
• Managing submissions, communication history and procedure status
• Detecting, preventing and investigating duplicate or improper submissions, abuse and system failures
• Website maintenance, incident response and security
• Meeting legal obligations and handling disputes or incidents

External providers may handle personal data for website operation, server management, email delivery and related work within the stated purposes. Appropriate supervision is maintained through selection, contracts and review.

Personal data is not provided to third parties except with consent, as required by law, or where necessary to protect life, health or property and consent is difficult to obtain. When coordination requires disclosure, necessary information is explained and handled under applicable law.

Security measures include access controls, management of transmission routes and credentials, protection of logs, CSRF protection, duplicate-submission prevention and anti-spam controls.

Personal data is retained only as long as needed for inquiries, bookings, communication history, incidents, disputes or legal duties, then deleted or otherwise disposed of appropriately.

Form entries are temporarily stored in a session and sent through an SMTP server as an administrator notice and automatic reply to the submitted email address.

For delivery checks and abuse prevention, logs may record time, reference number, inquiry or booking type, email, IP address, requested dates, result and errors. User-agent information may appear in administrator notices.

This site uses Google Fonts for web fonts, Google Maps for location information and an external SMTP server for email. Images are served locally and are not hotlinked from external photo services.

When these services are used, technical information such as IP address, user agent, page viewed, referrer and cookies may be sent to the provider. Their own terms and privacy policies also apply.

Google Analytics, advertising cookies and embedded social posts are not currently implemented. This policy will be updated if external services change.

Contact and booking forms use first-party session cookies for confirmation, CSRF protection, error display and duplicate-submission prevention. They are not used for advertising or cross-site tracking.

Disabling cookies may prevent forms from working correctly. Session cookies use protections such as HttpOnly and SameSite, and Secure over HTTPS.

Requests for notice of purpose, disclosure, correction, addition, deletion, suspension, erasure or stopping third-party provision are handled under law after identity verification.

Identity or authorization documents may be required. If a request cannot be fulfilled under law, the reason will be explained.
