SECTIONChoose the representative and define what they may decide
Choose one representative for facility contact, headcount changes, payment and the meeting on arrival. However, the representative should not guess matters that require confirmation from each person, such as bedding needs, children, health accommodations or payment preferences.
| Item | What the representative collects | What to tell the facility |
|---|---|---|
| Headcount | Adults, children and people arriving on different dates | Number of guests and age composition |
| Sleeping arrangements | Household grouping, gender, snoring and early departure | Conditions needed for room assignment |
| Transport | Number of vehicles, drivers and public-transport users | Arrival time and vehicle conditions |
| Meals | Eating out, purchases, brought-in food and allergies | Only what needs facility support |
| Accounting | Advances, separate settlement and responsibility if someone cancels | Payment method and when conditions become final |
SECTIONDo not assign rooms only by who is closest
Check sleeping and waking times, nighttime support for children, early departures and sensitivity to noise. When bedrooms or wet areas are shared, prioritize privacy and daily rhythm; operations are often easier if everyone is not forced into the same room.
SECTIONPlan vehicle arrival order as well as baggage
With several vehicles, everyone may not arrive at the same time. Share more than just the address: decide the meeting point, who arrives first, how delays will be reported, unloading steps and driver rest. If anyone uses public transport, also confirm the final connection described in S11.
SECTIONSecure dinner on arrival day and breakfast the next morning first
If meals are planned only around sightseeing, business hours or group capacity may not fit. Decide arrival-day dinner, next-morning breakfast and suitable meal intervals for children or older participants first, then add lunches and stops. Confirm the facility's food and drink conditions separately.
SECTIONShare payment and headcount-change deadlines
Whether the representative pays everything at once or households/individuals pay separately
Which transport, meal and accommodation costs are pooled for group settlement
Who contacts the facility if headcount changes or someone is absent
How proof of advances and the settlement deadline are recorded
SECTIONSeparate undecided items in the Booking Request
Sending a BASE NIIKAPPU Booking Request does not itself confirm the stay. Separate confirmed and expected headcounts, decided and undecided vehicles, and the questions you still need answered so the facility can review the conditions more clearly.
