Sports Camp Cancellations and Headcount Changes | Facility, Participants and Finance

When someone drops out after a sports camp has been arranged, not only the lodging headcount but also room assignments, meals, vehicles, participation fees and outside bookings can change. Cancellation deadlines, headcount-change deadlines and fee treatment vary by provider, so do not set a refund from general assumptions. Record the change once and confirm the affected conditions in order.

SECTIONFirst, define “what changed” in one sentence

Before contacting the facility, put the booking name, usage dates, original headcount, new headcount and date the change became final in one record. Different situations—absence, partial attendance, shortened dates or cancellation of the whole group—require different checks, so define the unit of change clearly, such as “two participants have withdrawn.”

Type of changeFirst thing to confirmItems likely to be affected
Partial absenceConfirmed headcount and gender/age compositionRooms, meals, participation fee, vehicles
Late arrival / early departureHeadcount for each nightMeal counts, transfers, roll calls
Shortened scheduleUsage dates and arrival/departure timesVenue, transport, meals, charges
Whole-group cancellationBooking conditions and external arrangementsFacility, transport, venue, insurance, participant refunds

SECTIONConfirm facility conditions before telling participants a refund amount

A smaller headcount does not necessarily reduce the group’s total cost by the same percentage. Lodging, meals, charters, venues and vehicles may each have different change deadlines or minimum-use conditions. Tell the facility the current booking and requested change, then confirm charges, procedures and response deadlines.

SECTIONCheck the impact in four categories

  • Facility: lodging headcount, rooms, meals, usage hours and additional procedures

  • Participants: absent participant’s cost, refund timing and whether a substitute participant is possible

  • Transport / venue: vehicle count, seats, practice venue and outside reservations

  • Finance: fixed costs, headcount-linked costs, transfer fees and refund records

If multiple staff separately report the same change, headcount and conditions can conflict. Divide roles—for example, the representative handles facility contact, the finance lead recalculates participation fees, and the communication lead informs participants—then return confirmed information to the common ledger.

SECTIONManage each change as “confirmed,” “waiting for reply,” or “not yet communicated”

SECTIONRecalculate the participation fee by separating fixed and headcount-linked costs

When recalculating participation fees, separate costs that tend not to change when headcount falls—such as vehicles and venues—from costs that are more headcount-sensitive, such as meals. Keep the amount returned to an absent participant, any additional burden on remaining participants, and any amount absorbed by the group account separate, and record the basis and approver.

SECTIONWhat to do within 24 hours after a change occurs

  1. 01

Record the person, date and details of the change in the master ledger

  2. 02

Confirm the same headcount and dates with the facility and external providers

  3. 03

Have each responsible person check effects on rooms, meals, vehicles and venue

  4. 04

Inform participants only after charges and deadlines are confirmed

  5. 05

Replace the roster, information booklet and emergency-contact records with the updated versions

SECTIONWhen consulting BASE NIIKAPPU about a change

Submitting a Booking Request does not itself confirm a reservation. If a change occurs after formal confirmation, provide the booking name, usage dates, original headcount, revised headcount and the date by which you need a reply, and follow the procedure communicated by the facility.
