SECTIONThe purpose of the booklet is to align everyone's decisions
Even if the organizer knows the schedule, participants will not make consistent decisions if the meeting place, packing information and accommodation rules arrive in separate messages. The booklet gathers confirmed information in one place and shows who to ask when clarification is needed.
If this is your first booklet, do not simply reuse an old one. Think about where this year's participants are likely to get confused. Following the sequence of meeting, boarding, arrival, practice, meals, bathing, sleep and departure makes required information easier to find.
SECTIONDivide information into confirmed, pending and individual communication
Not everything needs to be decided when editing begins. However, if pending items are shown as confirmed, corrections multiply later. Sort information into the following three groups first.
| Category | Content | How to show it in the booklet |
|---|---|---|
| Confirmed | Schedule, meeting, accommodation, responsible person, etc. | Include in the main document |
| Pending | Meal details, precise timing, wet-weather options, etc. | Mark as pending and show the decision deadline |
| Individual communication | Health information, medication, personal transport, etc. | Share only with the relevant person and responsible staff |
SECTIONPut the information needed on the day near the front
Participants first look for meeting time, meeting place and what to do if they are late, not the background of the project. After the cover, create a 'check this first today' page and keep it short enough to read on a smartphone while traveling.
Meeting date/time and place
Contact for lateness or absence
Items that must be carried that day
First vehicle or group assignment
Where to gather after arrival
Expected return or dismissal time
SECTIONArrange the main sections in the order participants act
| Section | Main content | Related existing article |
|---|---|---|
| Overview | Purpose, dates, participants and responsible person | First-time sports camp organizer checklist |
| Meeting / transport | Meeting, vehicles, breaks and return trip | Moving a large group for a sports camp |
| Accommodation | Address, facility rules, rooms and lights-out | How to assign rooms for a sports camp |
| Activities | Practice, meetings and wet-weather changes | Alternative plans for bad weather |
| Packing | Personal, sports and shared items | Sports camp packing checklist |
| Safety / contacts | Illness, emergency contacts and decision authority | Sports camp safety management |
If every detail is explained in the participant booklet, important information gets buried. Keep detailed packing and safety management in staff materials when appropriate, and leave participants with what to do, where to look and whom to contact.
SECTIONFor each day's schedule, include place and responsibility as well as time
Writing only '18:00 bathing' does not tell people who goes first or where to gather. Add start time, location, target group, responsible person and the condition for finishing before the next activity.
| Time | Plan | Place / participants | Lead / note |
|---|---|---|---|
| After arrival | Unload luggage and confirm facility | Entrance to shared area | Facility contact and supervisors |
| After activity | Return and change clothes | Designated area | Separate wet equipment |
| Evening | Bath, meal and review | Confirm by group | Use one shared finish time |
| Morning | Wake, tidy and depart | Rooms and shared areas | Assign forgotten-item checker |
SECTIONGive paper, PDF and chat different roles
When the same information is distributed in multiple formats, decide the role of each. Paper is useful on the day, a PDF can be the formal full version, and chat is suitable for change notifications. Rewriting the entire schedule in chat makes differences from old posts unclear, so announce the updated PDF version and the specific changes.
| Format | Good for | Caution |
|---|---|---|
| Paper | Carrying on the day, no-connectivity situations | Hard to replace after changes |
| Official full document and printing | Include filename/version and update date | |
| Chat | Change alerts and confirmation requests | Do not make it the official master itself |
SECTIONShow the update date, version number and changes
When dates or participant numbers change, simply overwriting the old file is not enough. Put an update date and version number on the cover and briefly list changed items. Keep one organizer storage location and avoid filenames such as 'final' and 'final2.'
- 01
Update the master document.
- 02
Change the version number and update date.
- 03
List the changes.
- 04
Tell everyone where the official version is stored.
- 05
Tell everyone not to use older versions.
SECTIONWhen reflecting BASE NIIKAPPU information
If using BASE NIIKAPPU, include the official address, planned arrival, facility-use conditions actually provided by the facility, the order for shared facilities and items participants must bring. Do not list unconfirmed meals, practice venues, exclusive use or equipment availability as confirmed facts.
You can ask about candidate dates and approximate numbers before everything is fixed. Finalize the booklet after receiving facility conditions, and clearly distinguish what the group requested during the inquiry from what the facility formally confirmed.
