SECTIONFirst decide four roles and a backup for each
| Role | Main responsibility | When a backup may be needed |
|---|---|---|
| Booking representative | Official facility contact and recipient of conditions | When the person is driving or unreachable |
| Finance lead | Collections, spending, refunds and evidence records | When the booking representative does not also handle payments |
| Participant communication lead | Group-wide sharing of deadlines, changes and packing information | When households or travel routes differ |
| On-day backup | Facility contact for arrival, delays or emergencies | When the booking representative cannot respond on site |
Keep one facility communication window, but do not concentrate all decisions and tasks on one person. Assign a backup for each role and return replies and payment status to a shared record that the necessary people can access, rather than leaving them only on a personal device.
SECTIONSeparate decision authority from the communication window
| Item | Person who compiles information | Person who gives final confirmation |
|---|---|---|
| Candidate dates, headcount and questions for the facility | Booking representative | Participants or group as appropriate |
| Collection method, deadline and refund records | Finance lead | Person authorized to approve amounts |
| Bedding, meal and mobility considerations | Each participant / household | The person concerned and necessary companion |
| Absence, late arrival or headcount change | Participant communication lead | Booking representative contacts the facility |
The representative should not guess everyone’s preferences. For living conditions or accommodations that require personal confirmation, collect answers from each participant and have the representative organize only the information that needs to be shared with the facility.
SECTIONShare the booking status using three fixed labels
| Status to share | Meaning | What not to do yet |
|---|---|---|
| Request submitted | Candidate conditions have been sent to the facility | Do not treat it as confirmed when fixing leave or transport |
| Conditions under review | Availability, price and usage conditions are being checked | Do not announce unanswered conditions as final |
| Formally confirmed | Both sides have confirmed the usage conditions | If something changes, do not ignore the original confirmed conditions |
SECTIONThe finance lead should record the basis, not only the amount
| Stage | What to record | What participants should see |
|---|---|---|
| Estimate | Assumed headcount, unconfirmed costs and purpose of contingency amount | That the figure is an estimate |
| After conditions are reviewed | Facility reply, payment deadline and change conditions | Only the confirmed range |
| During collection | Payer, amount, date and unpaid status | Each participant’s own payment status |
| After the trip | Actual spending, receipts, refunds and remaining balance | Final settlement result |
Even when a representative’s personal bank account is used, records are needed so trip payments are not confused with private transactions. Separating how the amount is determined from who collects, checks and reports it reduces the risk that the representative personally carries a shortfall.
SECTIONSeparate the change-contact window from the approver
Use one point of contact for participant change requests
Record the change, contact date and items awaiting reply
Have the booking representative ask about effects on fees or facility conditions
Have the finance lead verify the basis of any refund or additional burden
Have the participant communication lead broadcast only information that has been confirmed
SECTIONOn the day, share information assuming the representative may be unavailable
Even if the representative is driving, bathing or unwell, the backup should be able to check the booking name, formally confirmed conditions, facility contact method, latest participant list and expected arrival time. Keep the emergency decision-maker separate from the communication role where practical.
SECTIONLeave the latest version and updater in the shared memo
- 01
Formally confirmed dates, headcount and usage conditions
- 02
Facility contact, booking representative and backup
- 03
Amount collected, payment deadline and finance lead
- 04
Change contact point, items awaiting reply and last update time
- 05
On-day arrival contact and emergency-contact responsibilities
SECTIONWhen sending a Booking Request to BASE NIIKAPPU
Send candidate dates, headcount, representative contact details and purpose through one contact window. A Booking Request is not formal confirmation, so share the conditions received from the facility with the finance lead and participants, and do not issue a final confirmation while important items remain unresolved.
