Photo, Social Media and Privacy Rules for Sports Camps | Decide Before the Trip

Training camps often mix record photos, guardian sharing, official team social media and participants' personal posts. Agreeing to be photographed is not the same as agreeing to publication to an unlimited audience. Separate photography, internal sharing, external publication and storage, and give participants a practical way to decline.

Japan's Personal Information Protection Commission notes that a photo that can identify a person may constitute personal information. Whether consent is legally required depends on the purpose, recipients, publication method and applicable rules. For camp operations, do not rely only on the legal minimum. Explain the purpose and publication scope as a privacy and portrait-rights consideration, and provide a consent process that allows participants to choose.

SECTIONDecide in advance where and when photos should not be taken

  • Bedrooms, bathrooms, wash areas, toilets and changing areas

  • Places where health information, rosters, contact details or room assignments are visible

  • Illness, injuries, medication, disciplinary situations or private meetings

  • Scenes showing vehicle plates, keys or access methods

  • Places where the facility or training venue prohibits photography

Explain no-photo areas during the arrival briefing and share them among staff. Security requirements, other guests, nearby residents, farms and training-venue rules take priority; group consent alone does not make photography acceptable everywhere.

SECTIONFor minors, separate the child's wishes from guardian confirmation

For minors, explain the purpose and publication scope to guardians according to the organization's rules. At the same time, make sure the child can say they do not want to be photographed. Practical options include consenting only to group photos while declining external publication.

SECTIONSeparate personal-account posting from official communications

Permission for an official team post does not automatically authorize participants' personal social-media posts. Set rules against posting location data, real-time travel details, room numbers, travel plans, minors' names, or other people's health information and performance details.

SECTIONUse one contact point for deletion requests and incidents

  1. 01

Designate a person to receive removal requests

  2. 02

Record the post URL, image and publication scope

  3. 03

Request deletion from official or personal accounts as needed

  4. 04

Check the extent of reposting or further sharing

  5. 05

Escalate serious leaks or rights issues to the organization leader or a specialist

SECTIONConfirm BASE NIIKAPPU photography conditions in advance

Confirm facility conditions before use for indoor photography, exterior photography, other guests and non-public operational areas. Posts naming the facility, commercial shoots and live streaming may be treated differently from ordinary souvenir photography.
